Copy Cataloging Workflow Using OCLC and Voyager

1. The essential first step is to search for a record in Voyager to see what the Acquistions Department put in the system and to check for duplicates. Write down the Voyager record number. Do not alter any of the Acq. records that say “ACQUISITION RECORD—DO NOT USE” or MonoSer. records.

2. Using Connnexion, search for the record in OCLC WorldCat.

3. Copy the call number and go back to Voyager to search call number. Use the MFHD call no. search WITHOUT highlighting anything in the filter box. We have to check call numbers in the cataloging module since it is the only place where we can see suppressed call numbers. Adjust call number to shelflist as necessary. You do not have to adjust alphabetically just check for duplication.

4. Go back to OCLC and (1) check the record against the book in hand, (2) edit the record as necessary, (3) validate, (4) update holdings, and (5) export the record if necessary. If the Acquisitions Dept. has imported a full-level Library of Congress record (DLC) record that has not changed, we do not have to export it again. We do have to update our holdings in OCLC. This is an important step, so that other libraries (especially those we are in consortial agreements with) know our holdings. Right now the Acquisitions Department is not updating holdings.

5. Import the record into Voyager. Make sure that you always overlay the record either created or imported by Acquisitions (except for the special acquisitions records that we don’t use). In order to overlay put the OCLC record number from the record you are going to import into the acq. record. Input the OCLC control number in an 035 field: For OCLC number 663093 it has to be input with two zeros to make it an eight digit number. For example: 035 $a (OCoLC)00663093

6. Once the record is imported and saved to the database, modify the holdings record created by the Acquisitions Dept. Always use the holdings record created by Acquisitions. Use the “Get call number from bib. record” function to bring in the call number. This will automatically change the 1st indicator in the 852 field from “0” to “8”. Make sure also to unsurpress the holdings record at the System tab.

7. Next create an item record and barcode the book. Close the new item record and go back to the holdings record to print the labels (this can also be done in OCLC). Then close all windows and minimize the cataloging module.

8. For the final step search the record in the OPAC. The OPAC display is a good place to catch mistakes, so please don't skip this step.
