Copy cataloging checklist

  • Don't forget to change series titles in 490 0# to 440

  • Always check the date in the 260 $c, the fixed field, and the call number. In most cases the date will be the same in all 3 places.

  • Please be careful not to accept duplicate call numbers. If we have already used a call number you need to adjust the Cutter number to create a unique call number. When adjusting the Cutter number try to fit it into the shelf arrangement alphabetically by main entry. Your new call number should go into a 090 field in the bibliographic record.

  • If you do most of your cataloging in Voyager, don't forget to go back in and "update holdings" in OCLC. As OCLC members we are obligated to show all our holdings in the WorldCat database. Also, this is an important step for accurate interlibrary loan and WorldCat.org visibility on the Internet.

  • Don't forget to remove from the book order slips or any loose inserts from publishers.

  • In CIP records, don't forget to delete the 263 field. It contains the projected date of publication and is no longer needed once the book is actually published.

  • Some foreign language book vendors are not putting LC subject headings on the records. So, make sure you check to see if there are English language LC subject headings on the records. They will all have a 2nd indicator "0". That's how you can tell they are LC subject headings.


  • For the Incomplete Section, don't forget to add a note for Dan on the item ID slip. The note should say either "In OCLC" or "No OCLC."

  • Non-standard foreign language records must be edited in certain fields to English. If you are unsure, just pass these books over to the Incomplete Section for Dan, Esther, and Chris to work on.

  • Don't forget to measure the book. Having the correct size is important for identification and for shelving. Make sure that folio books go to the Folio Collection or the Reference Folio Collection.

  • Don't forget to unsuppress the holdings record. You should catch this when you do a final check in the OPAC which is the last step in the copy cataloging workflow.

  • If you use the "find in a library" command to get an LC call number or subject heading(s) be careful with your choice. The first LC subject heading should determine the LC class number. When in doubt, pass to the incomplete shelves for the professional catalogers.

  • Make sure that the call number we use locally is in both the bib. record and holdings record.

  • We've been finding on a lot of records where the "c" is missing for copyright dates in the 260 field. Make sure you add "c" to clearly identify that the date is a copyright date, not a date of publication.
